About Centric Mental Health Centric Mental Health is a primary care mental health and neurodevelopmental service providing holistic, person-centred assessment, intervention and therapeutic support for children, adolescents, adults and families. Our services are delivered through multidisciplinary teams and a nationwide network of experienced psychotherapists, enabling us to provide a comprehensive range of mental health, neurodevelopmental and therapeutic supports. Service Operations Manager: Contract: Full time and Permanent Hours: 40 hours per week Location: Base location to be agreed with the successful candidate. The role will involve working across one or more of our locations, including Dundrum, Ranelagh or Navan Road, with some flexibility for remote working. Salary range: €55,000.00 - €70,000.00 Role Overview The Service Operations Manager is responsible for the centralised oversight and coordination of mental health services operating across different locations. This role provides strategic and operational leadership to ensure safe, effective, and consistent service delivery across both sites. Working closely with on-site teams and clinical leadership, the Service Operations Manager will establish and maintain robust operational systems, drive service improvement, ensure operational accountability and support sustainable service growth. Key Responsibilities Service User Pathway & Experience Oversee the end-to-end service user journey across clinics, from referral through to discharge Ensure consistent, high-quality service user experience across sites Work with clinical leadership to improve accessibility, flow, and responsiveness of services Monitor waiting times and patient progression through assessment and treatment pathways Review feedback and complaints, ensuring appropriate escalation, learning, and service improvement Operational Leadership & Service Delivery Provide operational leadership across services, ensuring consistent implementation of policies, procedures and operational standards. Establish and maintain robust operational systems to support efficient service delivery. Take ownership of clinician scheduling, clinic utilisation and capacity planning, ensuring resources are used effectively. Monitor operational performance against agreed KPIs and proactively identify and resolve operational issues. Work closely with booking team to optimise scheduling processes, minimise unused capacity and maximise patient throughput. Ensure effective utilisation of electronic health record (EHR) systems and other operational platforms to support service delivery, patient flow, scheduling and performance management. Standardise workflows and operational processes across all sites. Identify operational risks, bottlenecks and inefficiencies, implementing solutions to improve service delivery. Support implementation of new services, pathways and operational initiatives. Reporting, Data Quality & Business Intelligence Develop and maintain reliable operational reporting processes and performance dashboards. Ensure routine reporting on key operational, clinical and financial metrics. Establish robust data governance processes, including clear ownership and accountability for data quality. Implement validation and quality assurance processes to ensure data entered into electronic health record is accurate, complete and consistently categorised. Collaborate with system providers and internal stakeholders to resolve data issues, improve reporting functionality and support system enhancements. Monitor data quality and work proactively with teams to address errors and improve reporting accuracy. Produce timely, accurate reports to support operational decision-making and executive reporting. Use performance data to identify trends, risks and opportunities for service improvement. Risk, Governance & Compliance Act as the operational lead for incident reporting, investigation and organisational learning. Ensure compliance with organisational policies, regulatory requirements and governance standards. Work collaboratively with clinical leadership to ensure safe and effective service delivery. Maintain operational risk registers and oversee implementation of mitigating actions. People Leadership & Team Development Provide day-to-day leadership and support to administrative and operational staff Foster a cohesive team culture across geographically separate services Support recruitment, onboarding, and retention in collaboration with clinical leadership and HR Promote staff wellbeing, recognising the demands of working in mental health services Facilitate communication, alignment, and shared learning across teams Performance, Quality & Continuous Improvement Monitor and report on key performance indicators, including access, utilisation, waiting times, productivity, patient experience and service outcomes. Lead operational quality improvement initiatives using data to inform decision-making. Drive continuous improvement through regular review of systems, processes and performance. Ensure agreed operational actions are implemented, monitored and reviewed. Financial & Business Operations Support financial oversight, including resource utilisation, budget monitoring and revenue optimisation. Ensure operational processes support accurate financial reporting and sustainable service delivery. Monitor operational performance against financial and activity targets. Provide regular operational and performance reports to senior leadership. Required Skills and Experience A minimum of 3 years 'management experience within a healthcare or related setting. Demonstrated experience leading service improvement and operational change. Experience of workforce planning, scheduling and capacity management. Experience of developing and maintaining operational performance dashboards, KPIs and management reports and using data to drive improvement. Strong understanding of governance, risk management and quality assurance. Highly organised with excellent analytical, communication and problem-solving skills. Advanced proficiency in Microsoft Excel and demonstrated experience using healthcare information systems and electronic health records would be advantageous. Experience working across multiple sites is highly desirable. Excellent written and spoken English is essential.
