To work as part of the maintenance team in CDS by providing assistance to the transport teams across the Home Delivery team.
Reporting to the Maintenance Supervisor, you will ensure the all aspects of maintenance and associated duties such as insurance claims and defect management are dealt with promptly and to the highest standard
Working Days and Hours:
The role is any five days over seven across Monday - Sunday, working 8.30am - 5pm. There is a requirement to be on call every fourth week in the evenings.
Main Duties and Responsibilities:
- CVR legislation - Plan /Process /compliance in all aspects.
- Maintenance of 12 Month Maintenance Plan for full fleet to include -
o Scheduling ‘12-week checks for the fleet.
o Scheduling ‘Services for the fleet.
o Ensuring that the weekly oil and water checks are documented.
o Ensuring any defects reported on the Motion Metrics App are addressed in a prompt and timely manner.
- Handling of Insurance Claims - processing and managing the process from start to finish - completing accident forms with drivers, following up with Insurance provider, managing costs etc.
- Invoices:
o Obtain quotes and pro forma Invoices for maintenance.
o Issue POs and ensure all are recorded and up to date on the system to allow Accounts process them further.
o Keep Stratum fully updated and liaise with the Finance Dept with regards all Maintenance Invoices.
- Enforce Defect Systems & Processes - Motion Metrics App - addressing daily reports in a prompt and timely manner, liaising with Drivers etc.
- Monitor the Service Providers to ensure all vehicles are serviced, repaired and maintained in a timely and professional manner and that all legal requirements such as inspections, licenses and insurances are acquired on time.
- Keeping all vehicle files up to date so that all correct paperwork recorded on files in conjunction with all legislative requirements.
- Ensuring suppliers issue relevant paperwork for any repairs completed and recording of same on Stratum and the vehicle files.
- Running reports based on the Motion Metrics app and ensuring all notified faults and issues are addressed in a prompt and timely manner and recording of same on system when issue rectified. Liaising with Drivers where needs be.
- Record all aspects of same, ensure up to date paper trail and that Stratum is fully utilized to record the above.
- Work collaboratively alongside the General Manager and Fleet Maintenance Supervisor in order to provide support to the fleet and driver team.
- Communicate effectively with Operations and Fleet Maintenance in relation to vehicle downtime, repairs, replacements and other scheduling.
- Assist with the management of scheduled and un-scheduled maintenance.
- Work closely with key suppliers, assisting, supporting and communicating effectively.
- Provide direction to the driver team in relation to the preferred supplier.
- Attend all product knowledge, compliance and training sessions organised by the Company.
- Assist with preparations for and auditing requirements
- Customer Service - investigating and responding to customer complaints in an accurate and timely manner
Requirements:
- This role may suit for someone that has experience working within the general motor or vehicle industry. Alternatively, if you have experience working within insurance or claims handling this would be a distinct advantage
- 1+ years Administration experience required
- Highly organised with the ability to prioritise effectively
- Excellent communication and attention to detail
