Position Title: Project Assistant, MHPSS Project

Duty Station: Citywest, Dublin, Ireland

Type of Appointment: 3 months Special Short-Term, with possibility of extension

IOM opened an office in Ireland in 2001. Ireland became a full member government of IOM in 2002. IOM Ireland provides with programming activities in the following areas of migration management: Assisted Voluntary Return and Reintegration, Resettlement, Family Reunification, Counter-Trafficking, Protection, Mental Health and Psychosocial Support (MHPSS).

Context:

Under the Overall supervision of the Project Manager and the direct supervision of the Site Coordinator the incumbent will be accountable and responsible for providing efficient administrative assistance and support to the day-to-day administrative, HR and finance tasks related to the implementation of the Mental Health and Psycho Social Support (MHPSS) project.

The MHPSS Project is designed to support the International Protection Accommodation Services (IPAS), of the Department of Children, Integration, Equality, Disability and Youth, to provide international protection applicants residing in Citywest and potentially other Centres in the Dublin area, with Community-Based Mental Health and Psychosocial Support (CB MHPSS) through Psychosocial Mobile Teams, with the aim of improving psychosocial well-being from a bio-psychological, socio-relational and cultural perspective and strengthening the overall resilience of beneficiaries, who have recently applied for International Protection (IP) in Ireland

Responsibilities and Accountabilities:

  • Assist the MPHSS Site Coordinator in implementing and monitoring the administrative/financial and HR activities related to the project.
  • Implement delegated administrative actions in accordance with IOM rules, regulations and instructions.
  • Maintain appropriate filing of all admin and HR documents.
  • Process in a timely manner staff expense claims and Travel claims of the MHPSS Projects staff as per IOM rules.
  • Assisting in the purchasing of the items necessary to the projects implementation, as per IOM rules.
  • Follow up the internal administrative and financial processes with the relevant Units.
  • Assist the Site Coordinator with the all the stages of the administrative and HR functions related to the Project.
  • Provide general clerical support to the MHPSS Site Coordinator.
  • Perform such other duties as may be assigned by the supervisor.

Required Qualifications and Experience:

Education

  • School diploma with five years of relevant experience; or,
  • Bachelors degree in Political or Social Sciences, International Relations, Development Studies, Migration Studies, Human Rights, Law or related fields from an accredited academic institution with three years of relevant professional experience.

Accredited Universities are those listed in the UNESCO World Higher Education Database.

Experience

  • Proven experience in a similar setting & capacity.
  • Excellent knowledge of information technology and proficiency in Microsoft Office applications especially Excel, Word, PowerPoint.
  • Experience with EU and/or international funding instruments, in financial management and reporting, accounting, budgeting and internal controls.
  • Demonstrated ability to maintain accuracy & confidentiality in performing responsibilities.
  • Strong interpersonal & intercultural skills with an attention to detail.
  • Previous work experience in international organizations and service industry companies would be an advantage.

Skills

  • Interpersonal skills (i.e. empathy and emotional resilience)
  • Knowledge of financial, administrative and human resources.

Languages

  • Fluency in English (oral and written).

IOMs official languages are English, French and Spanish.

Proficiency of language(s) required will be specifically evaluated during the selection process, which may include written and/or oral assessments.
